Terms & Conditions

DEPOSITS AND PAYMENTS
I. A 50% non-refundable deposit is required to secure the date, time, and location of Willow & Yarn Picnics equipment hire and setup.
II. An additional 10% deposit is required as a bond if in the event that Willow & Yarn Picnics’ equipment is damage or stolen. Should there be no damages or loss of inventory, the full 10% deposit will be refunded after the event has occurred.
III. The balance is due and payable before or on the date 14 days prior to the event. Cancellations within 14 days of the event, no refund will be paid excluding the 10% bond which will be refunded in full.
IV. A quote enquiring a price for a Willow & Yarn Picnic package will be stated on the invoice and valid up to 7 days from the date of invoice/quote.
V. If due to unforeseen circumstances (e.g. weather), a reschedule is granted without any fees applying to a date and time that is suited for both parties (hirer and Willow & Yarn Picnics). If no alternate date can be arranged between both parties, the hirer will be granted a credit and will have to confirm a date within 6 months from the cancelled event.
VI. COVID-19 - No refunds will be given due to cancellations related to COVID-19 illness. 


PAYMENT CONDITIONS
VII. Timeframes for payments are outlined and detailed within the invoice that Willow & Yarn Picnics will send through to the hirer. All payments are to be paid through bank transfer to Willow & Yarn Picnics bank account.
VIII. Proof of payment is required to be sent through to Willow & Yarn Picnics as confirmation for the booking. Without the proof of payment, the booking is therefore not confirmed and the hirer will risk loss of choice of time, date and location for the event.
IX. Failure to pay an invoice on time may result in cancellation of a booking and loss of deposit.

DAMAGES & THEFT
X. All equipment and inventory that is supplied to the hirer is property of Willow & Yarn Picnics.
XI. If damages and theft are involved, the hirer therefore becomes liable. An additional 10% deposit is required for a bond in the event that Willow & Yarn Picnics’ equipment is damage or stolen. Should there be no damages or loss of inventory, the full 10% deposit will be refunded after the event has occurred.
XII. If items belonging to Willow & Yarn Picnics are lost or damaged during the duration of the picnic package timeframe, it is the hirer’s duty to notify Willow & Yarn Picnics immediately.
XIII. All hire items must be left where they were originally set up and ready to be collected by Willow & Yarn Picnics at the end of the package time duration.

XIV. Cleaning is included in the picnic package however if excess cleaning is required and/or there are damages that require further cleaning to Willow & Yarn Picnics’ hire items, the 10% bond will not be refunded.


FOOD AND BEVERAGE
XV. Willow & Yarn Picnics offers catering services as an option to the hirer. All food is fresh, made on the day, and will be noted if certain foods must be consumed within a certain timeframe.
XVI. It is required to notify Willow & Yarn Picnics in writing of any food allergies and/or dietary requirements. Willow & Yarn Picnics will not be held liable for any allergic food reactions, intolerances, or not meeting dietary requirements.
XVII. Willow & Yarn Picnics’ catering may contain traces of nuts, dairy, and gluten.
XVIII. Willow & Yarn Picnics holds no responsibility and will not provide alcohol for the event/picnic. It is illegal to drink alcoholic beverages in public places owned by city council without a license, therefore Willow & Yarn Picnics will not be associated with the consumption of alcohol, or any penalties occurred. Any penalties occurred will be at the hirer’s liability.


SAFETY AND SECURITY
XIX. In the case of predicted severe forecasted weather, Willow & Yarn Picnics will not assemble the picnic set up at the chosen location. The second choice of location communicated between hirer and Willow & Yarn Picnics, will then be the chosen site for the event to be set up.
XX. Once the picnic set up has been completed, the package time will start. The hirer is then liable for the supervision and safekeeping of Willow & Yarn Picnic hire items until such time that it is collected by Willow & Yarn Picnics.
XXI. It is essential that the hirer ensures adequate safety measures when using Willow & Yarn Picnics' hire equipment. The hirer must agree to using the hire items correctly, otherwise will be used at hirer’s own risk.
XXII. Willow & Yarn Picnics will not be held liable for any injuries sustained whilst using the event equipment. The hirer and guests will use Willow & Yarn Picnics’ hire items at own risk.
